Job Summary

Under the direct supervision of the Assistant Director of Education, this position is responsible for providing administrative support for the Education Department, Language and Literacy programs and the conference planning committee.

Duties/Responsibilities

  • Provide coordination and leadership support to the members of the Culturally Responsive Education (CRE) conference planning committee to assist in planning and implementation of the CRE Conference.
  • Collaborate SHI media and CRE planning committee development and implement event publicity, print and digital materials, video production, resource archive management, and technical support.
  • Schedules and organizes complex activities, such as meetings, travel, conferences, and department activities for all members of the CRE planning committee.
  • Assist and monitor the performance of the project partners and service providers for bi-annual and annual Tlingit Language Immersion Retreats and the creation and implementation of a Tlingit language online course.
  • Oversee and assist the program team to coordinate annual professional development for indigenous language speakers, teachers, and scholars.
  • Oversee and assist several projects, program and grants to support the use of Canvas – an online professional learning tool – providing use instructions and ongoing support of the various courses offered by SHI on the Canvas platform
  • Coordinate project evaluations and reporting, including tracking of activities, gathering and maintaining data for performance measures of various grants and programs.
  • Provide support to various team supporting Community of Practice- professional learning cohort to provide cross program alignment.
  • Provide guidance and support with SHI programs and contractors to develop for credit classes for teachers and educators, including syllabi, course descriptions and applications to higher education institutions as the crediting entity.
  • Organizes and prioritizes large volumes of information and calls.
  • Drafts contracts and payments for presenters and contractors.
  • Performs other duties as assigned.

Required Skills

  • Excellent verbal, written, and interpersonal communication skills and customer service orientation.
  • Demonstrated ability to manage multiple projects and activities with attention to detail.
  • Strong organizational and planning skills in project management and program coordination.
  • Knowledge of operation of standard office equipment.
  • Ability to work well on own initiative and within a team.
  • Proficient in computer applications, including word processors, spreadsheets database software, and online survey applications.
  • Strong command of Microsoft Excel
  • Highly organized, self-motivated, and attentive to detail
  • Knowledge of principles and practices of basic office management
  • Knowledge of Alaska Native cultures and education programming

Supervisory Responsibility

This position will have no direct reports.

Work Environment

This position’s duties are performed at the Walter Soboleff Building. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to verbally communicate. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, and climbling. The employee must frequently lift and/or move objects up to 20 pounds and occasionally lift and/or move objects up to 50 pounds.

About this Role

This is a full-time benefited position. SHI employees are expected to work during SHI’s regular business hours of 8:00am to 4:30pm Monday to Friday. Additionally, employees may work up to or over 45 hours per week or additional time as needed to meet workload demands or special events such as Celebration.

Required Education and Experience

  • Bachelor of Arts or Science Degree in education or project-related field
  • Active teaching license for the state of Alaska, another state, or experience teaching
  • Proven successful working collaboratively in large scale projects
